Position Description:
Seeking an experienced, talented, and motivated full-time Events Coordinator to organize, facilitate and execute monthly and annual events of the association. Events include but are not limited to: tradeshows, Parade of Homes, Awards Gala, Sporting Clays Shoot, Battle of the Builders, Golf Tournaments, and other events the association presents for members’ benefit. The selected candidate will report to Executive Officer.
The Event Coordinator must be organized and possess a sound knowledge of vendor management and contract review and execution. Excellent communication skills and attention to detail are vital to this role.
Objectives of this role

Desired Skills and Experience:
- A minimum of three years’ experience in event planning or event coordination in a corporate environment
- Clear understanding of vendor and venue contract negotiations and execution
- Ability to successfully monitor and coordinate event timelines and budgets
- Sales and customer service background
- Excellent organizational, communication, negotiating, and multitasking skills
- Works well alone and collaborative teammate
- Experience working with colleagues in graphic design, sales, marketing, and communications
- Effectively builds relationships with industry partners
- Ability to manage multiple ongoing projects and deadlines

Position Duties and Responsibilities:
- Develops a complete understanding of the requirements for every event
- Research vendors and venues and make selections based on creativity, quality, and cost
- Book venues, draft and finalize contracts, and locks down day-of logistics
- Handle day-to-day administration of events and programs, including order placements, BEO reviews, vendor monitoring, travel planning, restaurant reservations, catering execution, attendee participation, member participation, registration counts, RSVP tracking, and issues resolution.
- Coordinates the annual Parade of Homes including builder participation, managing the entry process, and organizing entry materials for marketing/communication staff to insert in the annual Parade of Homes publication.
- Coordinates the annual Build & Remodel Expo including exhibitor booth sales and registration, exhibitor relations, and on-site event logistics. Works in conjunction with marketing/communication staff on event promotion.
- Coordinates social functions and meetings of the association, including but not limited to the Annual Meeting, BA of the Blue Ridge Mountains After Hours, Golf Tournaments, Battle of the Builders, Fall Awards Gala, and Holiday Party.
- Coordinates educational functions and meetings of the association, including but not limited to the mandated continuing education, and specialized classes offered to membership, and helps to coordinate the classroom rental space.
- Responsible for registration, event location, catering needs, and on-site logistics for all association events. Works in conjunction with membership staff and marketing staff for event needs.
- In conjunction with the Executive Officer, targets new areas of growth and stability for general membership events and community events.
- Provides key staff support to Social Committee and Parade of Homes Committee in conjunction with Executive Officer for event coordination, event reports, and volunteer needs.
- Maintains current event details on the BA of the Blue Ridge Mountains Events Calendar, respective event websites, and other event promotional material with proper communication to marketing staff.
- Provides reports as needed to Executive Officer on event registration status, event sales, and event participation statistics. Assists to analyze ROI of each event.
Additional Requirements:
- Personal vehicle and valid driver’s license
- Ability to work some evenings (avg. four nights per month)
- Ability to work some weekends (avg. five weekends per year)
- Ability to lift 35 pounds
